Personal Training and Workout Tracking App
Let's Connect
Overview
What we built
A network of personal trainers was coaching remote clients through PDF workout sheets sent over WhatsApp, with no way to see who had actually trained. We built the app that replaced the PDFs and gave coaches real visibility.
In plain terms: trainers were writing out training programs and sending them as PDF documents over WhatsApp, then tracking who had done what in a spreadsheet updated by hand. A coach had no real-time way to know whether a client had completed a session, skipped it, or never opened the PDF at all, so feedback and adjustments always arrived late, if they arrived at all.
We built an iOS and Android app centred on a guided workout experience, with set and rep logging, progress photos, a drag-and-drop program builder for coaches, and in-app messaging between coach and client. Adherence rose from 52% to 81% of programmed sessions completed, trainers went from an average of 12 to 28 clients each, and 3-month retention climbed from 44% to 69%, with the app rated 4.8 stars.
The Problem
Remote coaching by PDF
Coaching clients remotely through PDF documents meant a trainer's program only existed as a static file. Once a client opened it on WhatsApp, the trainer had no further visibility: no confirmation the session happened, no record of the weights used, no sense of whether the plan was too easy, too hard, or being followed at all.
Tracking progress in a spreadsheet made the problem worse rather than better. Updating it depended entirely on the trainer remembering to ask, or the client remembering to report back, so the spreadsheet was often out of date by the time a coaching decision needed to be made. Real adherence and reported adherence drifted further apart the longer a client went unchecked.
Without real-time visibility into session completion, trainers were coaching blind between calls. A client drifting away from the program looked, on paper, no different from one training exactly as prescribed, until a spreadsheet update or a missed check-in eventually revealed the gap.
Static PDF programs
Training programs existed only as PDF documents sent over WhatsApp, giving a trainer no visibility into whether a client had even opened the plan.
No completion visibility
Trainers had no real-time way to see whether a session had been completed, skipped, or attempted with different weights than prescribed.
Manual spreadsheet tracking
Progress lived in spreadsheets updated by hand, dependent on trainers remembering to ask and clients remembering to report back accurately.
Coaching blind between calls
A client drifting from the program looked identical, on paper, to one following it exactly, until a delayed spreadsheet update revealed the gap.
What it was costing them
Every client coached through a PDF and a spreadsheet was a trainer working without the information needed to intervene early. Adherence drifted unnoticed, sessions went unlogged, and clients who quietly stopped training often were not caught until a scheduled check-in, by which point retention and results had already suffered.
The Solution
One app for coach and client
We built an iOS and Android app around a guided workout experience, replacing the static PDF with something a client actually opens during a session rather than before or after it. Set and rep logging captured exactly what happened in real time, and progress photo tracking gave both coach and client a visual record alongside the numbers.
For trainers, a drag-and-drop program builder replaced writing out PDFs by hand, making it faster to build and adjust a plan for each client. In-app messaging between coaches and clients kept feedback attached to the actual session data instead of a separate WhatsApp thread disconnected from what had been logged.
The combination meant a trainer opening the app could see, immediately, who had trained, what they had lifted, and how they were progressing, without waiting for a spreadsheet update or a client's memory of the week.
Key decisions
Guided workout experience
A guided in-app workout experience replaced the static PDF, so clients logged sessions as they trained rather than reporting back afterwards from memory.
Set and rep logging
Set and rep logging captured exactly what a client lifted in real time, replacing spreadsheet updates that depended on someone remembering to fill them in.
Progress photo tracking
Progress photos gave coaches and clients a visual record running alongside the logged numbers, adding context a spreadsheet alone could not show.
Drag-and-drop program builder
A coach-facing program builder with drag-and-drop replaced writing plans out as PDF documents, making it faster to build and adjust a program per client.
Messaging tied to sessions
In-app messaging between coaches and clients kept feedback attached to the actual logged session, instead of a WhatsApp thread separate from the data.
Measurable Impact
What changed after launch
Client workout adherence improved from 52% to 81% of programmed sessions completed, a direct result of trainers being able to see, and respond to, real session data instead of a delayed spreadsheet update. Trainer client capacity rose from an average of 12 to 28 clients per trainer, as the app replaced hours of manual tracking and PDF writing.
Client retention at 3 months improved from 44% to 69%, reflecting a coaching relationship built on real-time visibility rather than periodic check-ins. The app is rated 4.8 stars, with trainers reporting it as their primary tool rather than one of several disconnected channels.
