Full-Funnel Retargeting Programme for a Family Dental Brand

Let's Connect

Overview

What we built

A Texas family dental brand was paying to win back families it had already won, while people who abandoned a booking form were never contacted again. We rebuilt the retargeting layer so warm visitors are followed up and booked patients are left alone.

In plain terms: the brand's 25 practices spent heavily on search and social adverts, but the moment someone left the website, that investment was forgotten. Families who had already scheduled an appointment kept seeing acquisition adverts. Parents who got halfway through the booking form and stopped never heard from the brand again. With no remarketing audiences, no frequency controls and no suppression of booked patients, the same households were bought over and over while genuinely warm prospects slipped away.

We rebuilt the layer between a first visit and a booked appointment. Server-side tagging restored the audience signals lost in the browser, visitors were sorted by how close to booking they got, and sequenced adverts followed each group across Google Display, YouTube and Meta under strict frequency caps, while booked patients dropped automatically onto suppression lists. Within four months the cost per booked appointment fell by 38%, from $214 to $132, and 11% of booking-form abandoners were recovered, up from effectively zero.

The Problem

Paying twice for lost visitors

The brand had built 25 locations across Texas on a steady flow of paid search and social traffic, and the acquisition engine worked. What it lacked was any memory. Every person who reached the website was treated as new the next time an advert found them, whether they had browsed a service page once or scheduled an appointment the day before.

That amnesia was expensive in both directions. Families who had already booked kept receiving acquisition adverts, so budget was spent re-winning patients the practices were about to see anyway. Meanwhile the most valuable near-misses, parents who opened the booking form and abandoned it, were never followed up at all. There were no remarketing audiences to catch them and no sequenced message to bring them back.

The absence of controls made everything leakier. With no frequency controls in place, nothing limited how often the same family could be shown the same advert, and with no call tracking, phone bookings, the natural channel for a dental brand, never connected back to the campaigns that produced them. Reporting could say what adverts cost, but not which ones filled chairs.

No visitor memory

Every website visitor was treated as brand new on their next impression, so prior interest, from a service-page view to a started booking, counted for nothing.

Paying for booked patients

Families who had already scheduled kept seeing acquisition adverts, with no suppression lists to remove them, so budget re-purchased patients the practices already had.

Abandoners never recovered

Parents who started the booking form and stopped were the warmest audience the brand had, and effectively none of them were ever followed up.

Missing controls

With no frequency caps and no call tracking, ad exposure went unmanaged and phone bookings never tied back to the campaigns that drove them.

What it was costing them

The brand was effectively paying twice for the same families: once to bring them in, and again because nothing told the platforms to stop. Wasted impressions piled onto already-booked patients, booking-form abandoners quietly took their business elsewhere, and every dollar of search and social spend worked harder than it should have needed to, with no way to see where it leaked.

The Solution

Segmented full-funnel retargeting

We started with the signals. Server-side tagging replaced the browser-only setup, restoring reliable audience data that ad blockers and browser restrictions had been eroding. On that foundation we segmented every visitor by intent: from a service page viewed, through deeper research, to a booking started and abandoned. Each segment reflects how close a family came to scheduling, not just that they visited.

Sequenced creative then followed each segment across Google Display, YouTube and Meta, under strict frequency caps so no household was hounded. A parent who abandoned the booking form sees a different message from one who skimmed a service page, and the sequence moves them toward finishing what they started rather than repeating a generic pitch.

Two automations closed the loop. Booked patients flow automatically from the CRM into suppression lists across every platform, so acquisition and retargeting spend stops the moment an appointment is scheduled. And call tracking ties phone bookings back to the campaigns that produced them, so the channel a dental brand lives on finally shows up in the numbers.

Key decisions

01

Segment by booking intent

Audiences were built around how far a visitor progressed toward booking, so the message each family sees matches what they actually did on the site.

02

Suppress the moment they book

CRM bookings feed suppression lists automatically across all platforms, ending spend on a family the instant an appointment exists, in display, video and social alike.

03

Strict frequency caps everywhere

Every sequence runs under firm caps, keeping the brand present without hounding families and protecting a healthcare brand's reputation across repeated exposures.

04

Server-side signals first

Rebuilding the tagging layer server-side came before any campaign work, because segments and suppression are only as good as the data feeding them.

05

Count phone bookings too

Call tracking ties phone appointments back to specific campaigns, so retargeting is judged on every booking it drives, not only the online ones.

Measurable Impact

What changed after launch

Within four months of launch the cost per booked appointment fell by 38%, from $214 to $132. The warmest audience finally got attention: 11% of booking-form abandoners were recovered through sequenced remarketing flows, up from effectively zero, meaning families who had nearly booked were brought back to finish instead of being lost.

The waste came out as well. Automated suppression cut impressions on already-booked patients by roughly 35%, and the retargeting layer settled into an outsized role: it now drives 24% of online bookings while using 15% of the paid media budget. The acquisition engine still fills the top of the funnel, but the brand no longer forgets everyone the moment they leave.
