Centralised Booking and Membership Platform for a Blowout Bar Franchise
Let's Connect
Overview
What we built
A 34-location blowout bar franchise ran a separate appointment book in every shop, so a full location simply lost the client rather than sending them next door. We built one booking platform for the whole network, and online self-service bookings grew from 24% to 68% of all appointments within 6 months.
In plain terms: every one of the 34 shops kept its own appointment book, with nothing connecting one location to the next. When a front desk fell behind, stylists ended up double-booked, and the franchise was absorbing roughly 40 of those clashes a week across the network. A client who found their usual shop fully booked simply walked out rather than being pointed to a nearby location with space, membership credits only worked at the shop where they were bought, and head office had no way to see how busy any chair actually was across the business.
We built a centralised booking platform on top of the franchise's existing salon-management system, unifying every shop's calendar behind one web and mobile booking flow. Real-time availability now lets a client rebook into a nearby location the moment their first choice is full, membership credits and packages redeem anywhere in the network, and automated SMS confirmations with waitlists refill cancelled slots on their own. Online self-service bookings grew from 24% to 68% of all appointments within 6 months, double-bookings fell from roughly 40 a week to fewer than 3, and cross-shop membership redemptions reached 31% of all credit usage.
The Problem
Fragmented per-shop appointment books
Each of the 34 shops in the franchise ran its own appointment book, built and maintained independently of every other location. There was no shared calendar, no shared client record and no shared view of who was booked in where. The moment a front desk fell behind on managing its own book, stylists ended up double-booked, a clash the network was absorbing roughly 40 times a week.
Clients paid the price for that fragmentation. If their usual shop was full, there was no way for the front desk to check whether a nearby location had space, so the client simply walked out rather than being offered an alternative. Membership credits and packages made things worse still, since they could only be redeemed at the exact shop where they were purchased, frustrating clients who travelled between locations.
Head office, meanwhile, was managing a 34-shop network blind. With every calendar sitting in its own shop-level system, there was no way to see how busy any given chair was across the business, let alone spot which locations had room to absorb overflow from a fully booked neighbour.
34 separate appointment books
Every shop in the franchise kept its own calendar with nothing connecting one location to the next, so no one could see across the network.
Frequent stylist double-booking
Whenever a front desk fell behind managing its own book, stylists ended up double-booked, a clash happening roughly 40 times a week across the network.
Clients turned away, not redirected
A client finding their usual shop full simply walked out, since front desks had no way to check availability at a nearby location.
Credits locked to one shop
Membership credits and packages could only be redeemed at the exact shop where they were purchased, frustrating clients who used more than one location.
What it was costing them
Roughly 40 double-bookings a week meant stylists standing idle or apologising to a client whose slot did not exist. Clients turned away by a full shop simply left rather than being redirected, taking their business with them. Credits locked to a single shop frustrated travelling clients, and head office had no network-wide view of chair utilisation across all 34 locations to plan around any of it.
The Solution
One booking engine, every shop
We built a centralised booking platform on top of the franchise's existing salon-management system rather than replacing it, unifying every one of the 34 shops' calendars behind a single web and mobile booking flow. Staff kept the salon-management system they already knew; the new layer simply gave every shop a shared, real-time view of the whole network's availability.
Real-time availability lets a client rebook into a nearby location the instant their first choice shows as full, instead of walking out with nothing. Membership credits and packages now redeem network-wide, so a client's balance follows them between any of the 34 shops rather than staying locked to one.
Automated SMS confirmations keep every booking front of mind, and a waitlist runs behind the scenes to refill cancelled slots automatically, without a front desk needing to work the phones to fill a gap.
Key decisions
Build on the existing system
The platform sits on top of the franchise's salon-management system rather than replacing it, so shops kept the software staff already knew how to use.
One calendar for 34 shops
Every shop's calendar now lives behind a single web and mobile booking flow, giving the whole network one shared, real-time view of availability.
Redirect clients in real time
Real-time availability lets a client rebook into a nearby shop the moment their first choice is full, instead of walking away with nothing booked.
Make credits network-wide
Membership credits and packages were unlocked from a single shop so they redeem anywhere in the network, following the client rather than the location.
Automate confirmations and waitlists
SMS confirmations and an automated waitlist now refill cancelled slots on their own, without front desks needing to work the phones to fill a gap.
Measurable Impact
What changed after launch
Online self-service bookings grew from 24% to 68% of all appointments within 6 months of launch, as clients across the 34-shop network booked directly into the shared calendar instead of calling a single shop. Stylist double-bookings fell from roughly 40 a week network-wide to fewer than 3, since every front desk now works from the same real-time picture.
Waitlist automation reclaimed slots that would otherwise have gone empty, filling 12% more appointments per shop. Cross-shop membership redemptions reached 31% of all credit usage, showing how many clients were moving between locations once their credits actually followed them there.

Tech & Tools Used
What powered the build
Every tool below earned its place in this engagement. Here is the part each one played.
Next.js
Powers the web booking flow that shows real-time availability across all 34 shops and lets clients rebook into a nearby location when their first choice is full.
React Native
Powers the mobile booking app used by clients and staff on the go, sharing the same real-time availability behind the web flow.
Node.js (NestJS)
Runs the booking API that unifies every shop's calendar, checks stylist availability and enforces the rules behind cancellations and waitlist refills.
PostgreSQL
Stores the unified calendar, client records and membership credit balances that now follow clients between any of the 34 shops.
Redis
Caches real-time availability across the network so a shop appearing full updates instantly for every other location checking for space.
Twilio SMS
Sends the automated booking confirmations and waitlist offers that refill cancelled slots without a front desk working the phones.
Stripe Billing
Manages membership billing and credit balances, keeping packages and credits consistent as clients redeem them at different shops.
AWS ECS Fargate
Runs the booking platform's services across the network so the franchise is not managing individual servers for each of its 34 shops.
Datadog
Monitors the booking platform in production, giving the team visibility into performance across the whole 34-shop network.
